New Customer Evaluation and Planning Process
Customer Evaluation
In the initial phase, we inquire about your preferred method for conducting payment transactions. While some clients prefer to opt for traditional written payment instructions, we often recommend online banking for its efficiency, security, and ease of tracking. This recommendation is particularly advantageous for our overseas clients operating in Turkey, as it accelerates transactions and ensures secure authorization, especially when signatories are based abroad.
Online Banking Authorization
If you opt for online banking, we facilitate the process of obtaining account monitoring, transaction, and approval authorization from your bank, if you do not already possess these authorizations. Subsequently, we acquire account monitoring and payment entry authorization on behalf of Cerebra.
Upon preparing the necessary forms required by the bank to secure the relevant authorizations, we verify their accuracy with the bank. Once confirmed, we provide these forms to you for signature by the authorized signatory, before they are submitted to us.
Signed Documents
Upon receipt of the original signed documents, we promptly share them with your bank, thus concluding our online banking authorization process.
Payment List Preparation & Sharing Process
1. Payment List Preparation
- We offer flexibility in organizing your payment lists, accommodating weekly, bi-weekly, or monthly intervals based on your invoice frequency.
- Upon inputting your invoices into our accounting system in accordance with your specified terms, we prepare your payment lists.
2. Detailed Review and Control
- Our payment lists provide comprehensive details, including vendor information, invoice amount, number, date, due date, and description for each invoice. Following preparation, our managers conduct thorough reviews of the payment lists assembled by our assistants.
- Once our internal checks are finalized, we present the payment lists to you for approval, along with supporting documents. You conduct the final verification and decide whether the payments should proceed.
3. Payment Confirmation and Realization
- Upon your approval for invoice payments, we proceed to input the payments individually into your bank’s online banking system. If transactions are to be executed via payment instructions, we prepare these instructions and submit them to the authorized signatory.
- After the entries are processed, we notify you, allowing you to finalize the process by approving the payments made through online banking. In cases where payments are made via bank instructions, signed payment instructions are sent to us for onward transmission to your bank. We oversee the process’s completion by monitoring the transaction’s status to ensure successful processing.
